Note that Harvard might block repeated emails with the same content, so you may want to switch to using a personal email address if you stop receiving email notifications.


Step 1: Review the Application Survey (Form) and Submit a Test Application Survey

  • Navigate to the HMS eCommons website,  https://ecommons.med.harvard.edu/
  • Log into eCommons and click “Applications” from the upper left, then click Qualtrics Survey Tool
  • Click on the application Project/offering cycle you’re testing
  • Click the Preview button and confirm that the survey fields match your expectations, including appearance, drop downs and conditional fields
  • Fill out the application survey, entering data in all fields, using your real email address for the applicant email and the endorser email, and submit the survey. 
    • Fill in every question the first time you complete a test survey so it populates the contact list completely.
  • Review the applicant confirmation email in your mailbox for piped-in content (ie endorser name and application ID), links, email subject, From email address, text. 


If your Offering Cycle has an Endorse phase, move on to Step 2; if your Offering Cycle does NOT have an Endorse phase but does have a Review phase, move on to Step 3.


Step 2: Review the Endorsement Survey and Submit Test Endorsement(s)

  • Note: You can’t access the endorsement survey via Preview since the form is only accessible via the specific link sent to the endorser
  • Review the endorser request email in your mailbox
  • Click the link to complete the endorser survey and confirm that the survey fields match your expectations, including appearance, drop downs and conditional fields
  • Fill out the endorsement survey, entering data in all fields, and then submit the survey
    • Fill in every question the first time you complete a test survey so it populates the contact list completely.

 

If your Offering Cycle has a Review phase, move onto Step 3; if your Offering Cycle does NOT have a Review phase, please move onto Step 4.


Step 3: Review the Review Survey and Submit Test Review(s)

  • Click on the review survey you’re testing from the Qualtrics projects list and confirm that the survey fields match your expectations, including appearance, drop downs and conditional fields
  • Fill out the review survey, entering data in all fields, and then submit the survey
    • Fill in every question the first time you complete a test survey so it populates the contact list completely.

Step 4: Assess Stats of Applications, Endorsements, and Reviews

  • You can assess applications and reviews from the Data & Analysis tab of each survey.
  • To assess endorsements, export your contact list
    • Click Contacts from upper right and click on associated contact list.
    • Click List Options and select Export List, then Export.
    • Make sure application data and endorser status is present.
      • Last column(s) should have endorsement status. 1 = endorsement has been submitted; blank = endorsement hasn't been submitted.

Step 5: Delete Your Test Survey Submissions

  • From the Data & Anaysis tab, select Tools (right side) > Delete Data > All Responses.  You do not need to wait until the delete is complete, you can click the “Hide” button to continue working and the delete will continue in the background.
  • You can also selectively bulk delete; using the check boxes on the left side, select the records to be deleted, then use the “With Selected” dropdown to select Delete.
  • Also, delete the data from the Contact List.

    • Click Contacts (top right)
    • Click the correct Contact List to open it
    • Check the top checkbox on the left to select all records
    • Use the “With Selected” dropdown to select Delete


We need to add details about viewing Data and Analysis vs. Contact list vs. extracting review data into excel and combining it with survey data
